LineupSmith Privacy Policy
LineupSmith ("LineupSmith," "we," "us," or "our") is operated by LineupSmith LLC, a Tennessee limited liability company. LineupSmith is an online tool that helps youth sports coaches build fair fielding rotations and batting orders. This Privacy Policy explains what information we collect through lineupsmith.com (our marketing site) and app.lineupsmith.com (together with the marketing site, the "Service"), how we use it, and the choices you have. The Service is offered for use in the United States.
Your use of the Service is also governed by our Terms of Service. By using the Service you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Who the Service is for
LineupSmith is designed for and directed to adults — coaches, team managers, and other adult team administrators (18+). Children do not create accounts, log in, or interact with the Service. The Service is not directed to children under 13, and no part of it is built for use by children.
Coaches use LineupSmith to enter a roster and generate lineups. A roster typically describes minor athletes, so this policy explains specifically how we handle information that may relate to children. See Section 8, Children's Privacy.
2. Information we collect
2.1 Information you provide when you create an account (coaches)
- Email address — your unique login identity, managed through our authentication provider.
- Password — created and stored by our authentication provider (Supabase); LineupSmith never sees or stores your plaintext password.
- Display name — optional, shown to teammates you share a team with.
2.2 Roster and game information you enter
When you set up a team and roster, you provide information that may describe minor athletes:
- Player display name — a name or label you choose for each player. Our Terms of Service require this to be a first name, nickname, or similar short label — never a full legal name — and we recommend a first name plus last initial at most.
- Jersey number (optional).
- Position eligibility — which positions a player can, should avoid, or cannot play.
- Per-game availability — whether a player is available or absent, and which innings.
- Lineup assignments — the position each player is assigned each inning, and batting order.
You also provide team and game details: team name, season label, age group (e.g. "10U"), inning count, opponent names, and game dates.
We intentionally do not collect player dates of birth, ages, home addresses, phone numbers, email addresses, photographs, geolocation, medical or health information, parent or guardian contact information, or any government identifier. The database has no fields for these. Please do not enter this kind of information into free-text fields.
2.3 Billing information
Paid plans are purchased through Stripe, our payment processor. Your card number and full payment details are entered on Stripe's payment pages and held by Stripe — we never receive or store your card number. We store your plan status and subscription state (for example, your Stripe customer and subscription identifiers, your plan, and its renewal date) so the Service knows what you've purchased. Stripe's handling of your payment information is described in Stripe's privacy policy.
2.4 Invitations
When you invite an Assistant Coach, we process the email address you provide in order to send the invitation and connect that coach to your team if they accept.
2.5 Waitlist and announcement emails
If you sign up on our marketing site to hear about LineupSmith, we collect your email address and nothing else. It is stored with our email provider (Resend) and used to send you the announcement or newsletter you signed up for. Every such email includes an unsubscribe link.
2.6 Information collected automatically
- Session cookie — when you sign in, we set a cookie so you stay signed in. It is used only for authentication.
- Analytics cookie — our analytics provider (PostHog) gives your browser a random identifier and stores it in a cookie. It is set on your first visit — including on our marketing site, before you sign in or create an account — and it is what lets us connect earlier visits to your account if you go on to create one (see Section 2.7, Analytics). It expires after 12 months. Your browser also keeps a copy of the identifier outside the cookie, so clearing cookies alone will not remove it; clearing site data for lineupsmith.com will. Neither cookie is for advertising or cross-site tracking — both work only on lineupsmith.com and its subdomains, and we do not use them to follow you to other sites.
- Technical and log data — our hosting and infrastructure providers (Cloudflare, Supabase) process standard request data such as IP address, browser/user-agent, and timestamps to serve the Service, protect against abuse, and keep it secure. These logs are retained for a limited period.
- Application logs — when something fails (a payment couldn't start, an email didn't arrive, a page didn't load), we record what failed, when, and your account identifier, so we can find and fix it. These logs record fixed categories and counts — never player names, jersey numbers, player records, team names, or roster information of any kind. Where an email we sent could not be delivered, the log records the coach email address it was sent to, because a delivery failure we cannot connect to an account is one we cannot fix; these are always adult coaches' addresses. Application logs are held by Cloudflare and are automatically deleted after no more than 7 days.
- Operational usage records — we keep limited internal records of certain actions (for example, that a lineup was generated, when, and how many players and innings it covered) tied to the coach's account, to operate and improve the Service. These records contain counts and your account identifier only — never player names or jersey numbers. Unlike the application logs above, these are kept for as long as your account exists.
2.7 Analytics
We use a product-analytics provider, PostHog, to understand how the Service is used — which features coaches reach, where they get stuck, and how many people who visit our marketing site go on to create an account. We use this to improve the product. We do not run advertising trackers, and we do not sell or share this information for advertising.
What analytics records:
- Actions, not content. A record that a lineup was generated, a plan was exported, a rule setting was changed, or a plan limit was reached — with counts and fixed categories (for example, how many players and innings a rotation covered, and whether the solver succeeded).
- Your account identifier and team identifiers, so we can understand how coaches use the Service over time.
- Never any roster information. We do not send player names, jersey numbers, player record identifiers, or team names to our analytics provider.
- Never your email address.
Linking visits to your account. If you visit our marketing site and later create an account, we link the earlier visits from that browser to your account, so we can understand how coaches find us.
Session recording. We record how pages are used in the app and on our marketing site — clicks, scrolling, and navigation — so we can find and fix confusing or broken experiences. All on-screen text is masked in these recordings, including every player name and jersey number: we see where someone clicked and what they struggled with, not what the page said.
If we ever change what analytics records — in particular, if we ever needed to send information about a player — we will update this policy first.
3. How we use information
We use the information above to:
- Provide, maintain, and secure the Service and your account;
- Generate and display lineups and rotations from the roster and rules you enter;
- Let you invite and collaborate with Assistant Coaches on a team;
- Process subscription purchases and manage your plan;
- Send you service email (for example, sign-in confirmations, team invitations, billing receipts, and account notices);
- Send announcement or newsletter email only to addresses that signed up for it, always with an unsubscribe link;
- Detect, prevent, and respond to fraud, abuse, and security incidents; and
- Comply with legal obligations and enforce our terms.
We do not sell personal information. We do not share personal information for targeted advertising, and we do not use it to build advertising or behavioral profiles.
4. How we share information
We share information only as described here:
- Service providers (processors) who operate parts of the Service on our behalf, limited to
processing data for us:
- Supabase — database, authentication, and account storage.
- Cloudflare — application hosting (Workers), content delivery, DNS, and security.
- Stripe — payment processing and subscription billing.
- Resend — sending email (service email, and announcement email for people who signed up), and storing waitlist email addresses.
- Google Workspace — our company email, where support and privacy requests are received and answered.
- PostHog — product analytics and session recording, as described in §2.7. PostHog receives actions, counts, your account identifier, and team identifiers — never player names, jersey numbers, player record identifiers, team names, or your email address.
- People you choose to collaborate with. If you invite an Assistant Coach to a team, that coach can see the team's roster, games, and lineups, and the email/display name of teammates on that team.
- Content you share yourself. When you export or share a lineup or season report — saving an image, copying, printing, or sending it through your device's share sheet — that content is generated on your device and goes to the recipients and apps you choose. It is not hosted by LineupSmith. You control who receives it.
- Legal and safety. We may disclose information if required by law or to protect the rights, safety, and security of our users, the public, or LineupSmith.
- Business transfers. If LineupSmith is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
We never share or sell information to advertising networks or data brokers.
5. Data retention and deletion
We keep information for as long as your account and teams are active, and as needed to provide the Service.
- Deleting a player, game, or team removes that data from our live database. Deleting a team also removes its players, games, availability, and assignments.
- Deleting your account is permanent and cannot be undone. It immediately and permanently deletes every team you Head-Coach — including teams shared with other coaches — along with their rosters, games, availability, and lineups. Before you confirm, the Service shows you exactly what will be deleted (how many teams, players, and games). Other coaches on those teams lose access and are notified after the deletion. Teams where you are an Assistant Coach are not affected — only your membership on them ends. If you want a lineup or season kept, export it before deleting. If you have an active subscription, it is canceled at the same time; see the Terms of Service for billing effects.
- Backups and operational logs are retained for a limited period and then expire. We may retain limited information longer where required for legal, security, or audit purposes.
6. Your choices
- Access and correction. You can view and edit your account details, rosters, games, and lineups directly in the app at any time.
- Deletion. You can delete individual players, games, teams, or your entire account from within the app (Account page). You may also email us to request deletion.
- Service email (sign-in, invitations, receipts, account notices) is part of operating your account and cannot be opted out of while you hold an account. Announcement email goes only to addresses that signed up for it and always includes an unsubscribe link.
7. Your U.S. state privacy rights
State privacy laws (in California, Colorado, Connecticut, Texas, Virginia, and a growing list of other states) give residents rights over their personal information. Many of those laws apply only to businesses above certain size or revenue thresholds, which LineupSmith may not meet — but we extend these rights to all U.S. users regardless of state:
- Right to know and access — ask us what personal information we hold about you and receive a copy.
- Right to correct — fix inaccurate personal information (most of it you can edit directly in the app).
- Right to delete — have your personal information deleted (also available in-app; see Section 5 for what account deletion does).
- Right to portability — receive your information in a usable format.
- Right to opt out of sale, sharing, targeted advertising, and profiling — we do not sell personal information, share it for cross-context behavioral advertising, use it for targeted advertising, or profile you, so every user already has the full benefit of this right. For the same reason, browser opt-out signals such as Global Privacy Control do not change anything about how we treat your data — there is no sale or sharing to opt out of.
To exercise any of these rights, email support@lineupsmith.com from the email address on your account (or, for waitlist signups, from the subscribed address). We verify requests by confirming control of that email address, and we will not ask for more information than we need to verify and act. You may use an authorized agent; we will confirm the request with you directly. We respond within 45 days (and say so if we need a permitted extension). If we decline a request, you may appeal by replying to our response; we will answer the appeal within 60 days, and you may also contact your state Attorney General. We will never discriminate against you — in price, features, or service — for exercising a privacy right.
8. Children's Privacy (COPPA)
LineupSmith takes children's privacy seriously. The Service is intended for use by adults only. It is not directed to children under 13, and we do not knowingly collect personal information from children. Children do not create accounts, log in, or submit information to the Service, and there is no child-facing part of it — no player login, no public roster page, and no link that lets a child reach a roster. Because a roster describes youth athletes, some of the information a coach enters may relate to a child under 13. Our approach:
- Data minimization. We collect the minimum needed to build a lineup — a player label and sport-related fields. We store no birth dates, ages, photos, contact information, geolocation, or health information about players, and our Terms of Service prohibit entering a player's full legal name or any other personal details. We ask coaches to use a first name (or first name plus last initial) or a jersey number.
- No direct collection from children. Every roster entry comes from an adult coach, not from a child — children cannot create accounts or submit information to us. If we learn that a child has provided us personal information directly, we will delete it.
- No advertising or profiling. We never use information about children for advertising, never build profiles from it, and never sell it.
- Adult-mediated control. The coach who entered a roster controls it and can edit or delete it at any time. Roster data is visible only to the coaches on that team.
- Coach responsibility. Coaches are responsible for having the authority to enter a player's information and for following their league's and team's policies regarding parental permission.
Parents and guardians: if you believe a coach has entered your child's information into LineupSmith and you would like to review it, correct it, or have it deleted, email support@lineupsmith.com describing the team and coach — or ask your child's coach, who controls the roster directly. We act on verified parental requests promptly, and we will delete a child's information on a verified request.
9. Security
We use administrative and technical safeguards to protect information, including encryption in transit, database row-level security so a coach can only access their own teams' data, credentials managed by our authentication provider, secrets held outside of client code, and access controls on our systems. No method of transmission or storage is perfectly secure, but we work to protect your information and to respond quickly if an issue arises.
10. Where information is processed
LineupSmith is operated from the United States, and the Service is offered for use in the United States. Our providers may process and store data in the United States and other countries in which they operate.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date and provide additional notice where appropriate (for example, on the site, in the app, or by email). Your continued use of the Service after an update means you accept the revised policy.
